These steps do not always happen on the same day. Record when each one needs cash and when payments arrive.

Materials, seed or stock.

Transport, labour and operating costs.

Record sales

Record delivery and the agreed payment date.

Receive payment

Verify receipt before spending the money again.

02 / A TRADER’S EXAMPLE

120,000 RWF received
is not all profit.

Stock costs 80,000 RWF and other expenses are 20,000 RWF. A sale of 120,000 RWF leaves 20,000 RWF before any costs not yet counted.

If the customer has not paid, that 120,000 RWF is not available to restock. Keep unpaid customer balances separate from cash in hand.

Use a notebook or spreadsheet. A simple record can be useful when you keep it up to date.

    Separate home and business

    Record personal withdrawals from the business. Do not hide them in stock purchase costs.

    Reconcile records and cash

    Compare opening cash, receipts, payments and closing cash. Investigate any difference.

  3. 03

    Look a week ahead

    List bills due, expected customer payments and stock needed. Plan how to manage a gap before it arrives.
